For meetings where you need extra security, the VC team can set up your meeting so that each participant is required to enter a valid 4-digit pin code to gain access.   

To book a meeting the uses a PIN code, please specify this on the ‘Additional Requirements’ section of the booking form.

Please note: our group spaces will have been set up with Host and Guest PINs by default.

Using a PIN

On dialling into the meeting the participant will be prompted to enter the 4-digit PIN code followed by a # using their remote control or software client.

On some VC units, this is straight forward; on others, a combination of buttons are required.  Experience has shown that meeting participants find it difficult to enter PIN numbers.  So please ensure all meeting participants know how to enter the PIN. The following should also be noted:

  • It is the responsibility of the meeting organiser to distribute the PIN to all participants. The VC Team will not provide PIN numbers to participants over the phone or by e-mail to anyone not listed on the booking form
  • All meetings that require a PIN will be dial-in only.  It is not possible to dial out to a participant and ask for a PIN.
  • If a participant phones the service desk and asked to be connected to the meeting, they will be asked to provide the PIN number.  Users who fail to provide the correct number will not be connected to the meeting.
